Terms of service
Effective 15 August 2026
These are the terms between GoReceptionist Ltdand the businesses that use our AI phone receptionist. They’re written in plain English on purpose: if anything here is unclear, that’s our fault, and we’d like to know — email info@goreceptionist.co.uk. By creating an account you agree to these terms. GoReceptionist is a service for businesses — you’re signing up on behalf of your business, not as a private individual.
What GoReceptionist is — and isn’t
GoReceptionist answers your business phone line with an AI receptionist. It greets callers, takes messages, and — if you connect your Google Calendar — offers appointment times and books jobs in. You see every call, recording, transcript and summary in your dashboard.
It is not a human
Your receptionist is artificial intelligence from start to finish. It handles most calls well, but like any AI it can make mistakes: it can mishear a name or a phone number, misunderstand what a caller wants, or write a summary that misses something. We work constantly to make it better, but we can’t promise it will never get something wrong. Please treat messages and bookings the way you’d treat notes taken by a brand-new employee: check the details that matter before you act on them — the full transcript of every call stays in your dashboard, so you can go back over the conversation.
It is not an emergency line
The receptionist must never be anyone’s route to emergency help. If your business could receive genuinely urgent calls (a gas leak, a flood, a vulnerable person), make sure your callers have a way to reach a human or the emergency services — don’t rely on the receptionist to triage an emergency.
Your account
- Give us accurate details when you sign up, and keep them up to date.
- Keep your password to yourself. Anything done while logged in to your account is your responsibility, so tell us straight away if you think someone else has access.
- One account serves one business. If you run several businesses, talk to us.
Your phone number and the regulatory registration
When you sign up, we set up a UK phone number for your receptionist. UK numbering rules require the business behind a number to be registered and verified — so we ask you for your registered business details and submit them for approval.
- You must give accurate business details.The registration is checked against official records; wrong or incomplete details mean delays, rejection, or — if a registration is refused and can’t be fixed — a number being withdrawn by the carrier. That’s their rule, not ours, and we can’t override it.
- Your number stays live for as long as your registration remains valid and your subscription is active.
- The number is allocated to your service while you subscribe — it isn't sold to you outright. If you ever want to keep the number when leaving, contact us before cancelling and we'll talk through the options.
Call recording and the announcement
Every call your receptionist answers is recorded and transcribed — that’s how you get your messages, and it’s a core part of the service. At the start of every call, the receptionist tells the caller: “Please note, this call may be recorded for quality and training purposes.”
- The announcement stays. You must not remove it, work around it, or ask us to remove it. It’s how callers are told they’re being recorded, and the service can’t lawfully run without it. If you ask us to switch it off, we’ll say no.
- Beyond the announcement, telling your callers about recording is your responsibility as the business they're calling — for example in your own privacy notice, or wherever you advertise the number. Our privacy policy explains what happens to call data, and you're welcome to link to it.
Payment
- GoReceptionist costs £79 per month, which includes 200 minutes of receptionist call time each month.
- We're not currently VAT registered, so no VAT is added — £79 is the whole amount.
- It's a rolling monthly subscription. There's no minimum term, no setup fee, and you can cancel at any time (see the next section).
- Payment is by card through Stripe, our payment provider. Your card details go directly to Stripe and never touch our servers.
- If we ever change the price, we'll email you at least 30 days before it takes effect, so you can cancel first if you don't want to pay it.
- If a payment fails, we'll get in touch. If it stays unpaid after we've contacted you, we may pause or close the service.
Included minutes
Your plan includes 200 minutes of call time per month — you can see your usage on the meter in your dashboard. We don’t currently charge for extra minutes. If you regularly use more than your included minutes, we’ll get in touch about the right plan for your call volume. If we ever introduce charges for extra minutes, we’ll email you at least 30 days before they start — so a charge will never be the first you hear of it.
In formal terms: We reserve the right to introduce charges for usage beyond your plan’s included minutes. Any such charges will be introduced on no less than 30 days’ written notice to you, will apply only to usage after they take effect, and you may cancel your subscription before they apply.
Cancelling, and what happens next
To cancel, email info@goreceptionist.co.uk from your account email. Your subscription runs to the end of the month you’ve already paid for and then stops — no further charges, nothing else to do.
Your first 14 days
Take the first two weeks to find out whether GoReceptionist is right for your business — real calls, real messages, real bookings. If you decide it isn’t, cancel within your first 14 days and we’ll refund you for the part of the month you haven’t used. No reason needed, no forms, no exceptions — just the same email address.
When the service ends
- Your receptionist stops answering, and your GoReceptionist number is released back to the phone network — it may eventually be reallocated to someone else. If you want to keep the number, talk to us before you cancel.
- If you were diverting your existing business line to your receptionist, remember to switch the divert off on your own phone — otherwise callers will reach a dead number.
- We delete your business details and your call data — recordings, transcripts and summaries — from our systems and instruct our providers to do the same, exactly as our privacy policy promises. If there's anything you want a copy of, ask us before your account closes, because deleted call data can't be brought back.
- If you connected Google Calendar, the stored connection token is deleted. Your calendar and everything in it are untouched — they were always yours, not ours.
- We keep only what the law requires us to keep, such as invoicing records for tax purposes.
When we can end or pause the service
- If you seriously break these terms — for example the acceptable-use rules below — we can pause or end the service. Unless it's urgent (something unlawful, or harm being done), we'll contact you first and give you a chance to put it right.
- If we ever close GoReceptionist down, we'll give you at least 30 days' notice and refund any time you've paid for but won't get.
Things we depend on
Running an AI receptionist takes several companies working together: the phone networks that carry calls, the AI providers that power the conversation, Google Calendar for bookings, and the infrastructure that hosts everything. They’re listed by name in our privacy policy.
We choose these providers carefully, but we don’t control them, and we can’t guarantee services we don’t control. If a phone network has an outage, calls to your number may fail. If an AI provider or Google Calendar has problems, your receptionist may be unavailable or unable to book appointments. When that happens we work to get you back up as fast as we can — but we can’t promise the service will never be interrupted, and we don’t offer an uptime guarantee.
In formal terms: The service depends on third-party networks and providers outside our control. We do not warrant that the service will be uninterrupted or error-free, and we are not responsible for failures or delays caused by third-party services, provided we take reasonable steps to restore the service when they occur.
Acceptable use
- Use the service only for lawful purposes. Don't use it for anything illegal, fraudulent, or deliberately misleading to callers.
- The service is for your own business. You must not resell it, white-label it, or pass it off as your own product — if you'd like to offer GoReceptionist to others, talk to us about it instead.
- Don't try to break it: no interfering with the service, probing its security, or overloading it on purpose.
If we believe the service is being used in a seriously harmful or unlawful way, we can suspend it immediately while we investigate — that’s the one situation where we’ll act first and contact you second.
Your data, and your callers’ data
Everything about how personal data is handled lives in our privacy policy — what’s collected, who sees it, where it’s stored, and how long it’s kept. These terms don’t change any of it.
One thing worth stating plainly, because it affects your own legal responsibilities: for your callers’ personal data — their numbers, recordings, transcripts and messages — youare the data controller (they’re your callers, calling your business) and we process that data on your behalfto run your receptionist. For your own account details, we’re the controller. That means your business’s own privacy obligations to your callers still apply — the announcement and our privacy policy help you meet them, but they don’t replace them.
The formal version of that relationship is our data processing agreement, which forms part of these terms — agreeing to these terms is agreeing to it too. It sets out, in the Article 28 shape UK data protection law requires, exactly what we do with your callers’ data on your behalf and what we promise you about it.
Our liability
If we get something wrong, we take responsibility for it — but in proportion to what the service is. GoReceptionist is a £79-a-month receptionist, not insurance for your business. If the receptionist mishears a message, a booking goes wrong, or the service is down and you miss a call, we’re not liable for the job you didn’t win or the customer who didn’t call back. What we owe you is capped at what you’ve paid us in the 12 months before the problem.
In formal terms: To the fullest extent permitted by law, we are not liable for loss of profits, loss of business, loss of opportunity, or any indirect or consequential loss arising from use of the service. Our total liability to you in any 12-month period is limited to the fees you paid us in the 12 months before the event giving rise to the claim.
Nothing in these terms excludes what the law says can’t be excluded — including liability for death or personal injury caused by negligence, or for fraud. And nothing in these terms affects your callers’ rights under data protection law.
Changes to these terms
If we change these terms, we’ll update this page and the date at the top. For significant changes we’ll email account holders at least 30 days before they take effect — and if you don’t like a change, you can cancel before it applies. Carrying on using the service after a change takes effect means you accept it.
Governing law
These terms are governed by the law of England and Wales, and any dispute about them belongs in the courts of England and Wales. (We’d much rather sort a problem out by email first — that’s what info@goreceptionist.co.uk is for.)
In formal terms: These terms and any dispute or claim arising out of or in connection with them are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
